Exhibition Stands - planner's thoughts

* Stand objective
- To engage new people to your group?
- To promote rail in general or specific groups?
- To meet with old friends?
- To support the event organisers?
- To show activities and meet/update existing members and / or industry partners
- To get the group's name out there?
- To confirm you're active to a parent organisation and to spend your grant
Policy on side promotions

* Stand presentation and attractions
- who are we
- how to pull people over
- what are our objectives and how will we reach them?
- staff dress code
- Interesting objects, drawing sheets, customer survey, someone bring their dog.

* Story that stand is to tell
- back board, maps, laminated and illustrative material
- hand out to include URL or printed copy to re-inforce
- making sure that people can and will follow up or be followed up in a good proportion (see below)

* Volunteer choice, briefing, support and motivation
- Set up specialists and organisers
- Greeters
- Talkers
- In depth experts
- duty gopher and manager

* Follow up / lead collection
- in line with objectives
- right questions and right collection level
- done to re-assure people of the security of their data

* Literature and what to hand out
- Main leaflets (think target audience, leaflet range and life)
- What else would be useful
- Quantity estimations and topups
- Gifts etc
- Sales??

* Backup plans
- something breaks
- location has unexpected issues
- last minute dropouts or no-shows
